Inspect a representative set of deals.
Sample active opportunities across stages, owners, sources, and ages. Reconcile the CRM with authorized notes and correspondence. Record missing evidence, contradictory dates, and unclear ownership. Avoid assuming a missing field means the buyer has taken no action; distinguish absent evidence from a confirmed problem.
- Identify the buyer problem and decision process.
- Confirm a next step, owner, and date.
- Explain the close date and forecast category.
Define stage exits that can be checked.
Agree what qualifies an opportunity and what proves progress. A completed demo does not by itself establish technical acceptance or a buying decision. Capture the buyer action, the evidence source, and the next commitment. Use exceptions when needed and make their rationale visible in the review.
- Keep stage definitions short enough for sellers to use.
- Separate activity measures from buyer commitments.
- Use the same definitions in reporting and weekly reviews.
Add automation with a review path.
Call summaries and field suggestions can reduce repeated work. Check extracted names, dates, amounts, and qualification claims before relying on them. Decide which fields can update automatically and which need approval. Keep the source accessible and assign someone to failed syncs and conflicting updates.
- Test accuracy on representative conversations.
- Keep an audit trail for material changes.
- Measure adoption and data usefulness alongside time saved.
